Starting a new season means clearing out last year and setting up a fresh, clean workspace. In TeamGenius you do this in four steps: archive last season’s players, clone your assessment so you can reuse your scoring setup, archive the old assessment, and then add this year’s players. This guide walks through all four steps in order.

Please Note: Scored players can only be archived within 30 days of your renewal. Reach out to your account manager or email help@teamgenius.com if you need this done before then.

Before You Start

  • You are signed in to TeamGenius.

  • You are on the Manage Assessments home page. You can jump there anytime by clicking the Bolt icon in the top-left corner (see “The Home Page (Manage Assessments)”).

  • You have organization-level admin access.

  • You are within 30 days of your organization’s annual renewal date, so you can archive scored players. If not, reach out to your account manager or email help@teamgenius.com to request an early bulk player archive.

Step 1: Archive Last Season’s Players

This clears your active organization roster so players who aren't returning no longer take up a spot in your TeamGenius account.

  1. In the top navigation bar, click Players.

  2. Choose Manage Players from the menu.

  3. Click the gear icon in the top-right corner of the player dashboard.

  4. Select Archive All Players from the dropdown.

  5. Read the warning pop-up, then type the word archive into the confirmation box.

  6. Click Archive All. Every player from last season moves from the active roster into archived storage.

Tip: Your player data is never permanently deleted during a seasonal reset. This bulk archive cannot be undone with one click, but any returning athlete who signs up again this year is automatically restored when you finish Step 4, as long as their first name, last name and birthdate match.

Step 2: Clone Your Assessment

Cloning makes a fresh copy of last year’s assessment so you don’t have to rebuild your scoring forms, criteria, or sessions from scratch.

  1. Return to the Manage Assessments home page (click top left corner). You will be viewing Active assessments by default.

  2. Find last season’s assessment and click the three gold dots on the far right of its row.

  3. Choose Clone Assessment.

  4. In the New Assessment Name field, type this year’s title (for example, 2026 Fall Tryouts).

  5. Choose what to bring over. Most organizations will leave Evaluation Sessions and Player Pools turned on to reuse them. Turn Players off so you can add this year’s new roster.

  6. Click Clone. Your new copy appears in the active list.

For full details on what cloning does, see “Clone an Assessment: Copy Your Setup for a New Event”.

Step 3: Archive the Old Assessment

Now tuck last season’s finished assessment out of the way so your dashboard only shows current events.

  1. On the Manage Assessments home page, find last season’s assessment in the active list.

  2. Click the three gold dots on the far right of its row.

  3. Choose Archive Assessment. It moves to your Archived filter, keeping your main workspace clean.

Need to bring it back later? See “Archive an Assessment (and How to Restore It Later)”.

Step 4: Add This Year’s Players

With your clean, cloned assessment ready, load in your new roster.

  1. Open your newly cloned assessment.

  2. Prepare your player roster in a spreadsheet (ideally with columns for first name, last name, birthdate, email, player pool and player # if you pre-assign it) and save it as a CSV file.

  3. Upload the file into the assessment by going into the assessment, click Players (on the left) < Add Players and click add players via CSV file. For the full walkthrough, see “Adding Players to Your Tryout”.

How TeamGenius Handles Returning Players

When you import, TeamGenius matches each new athlete by First Name, Last Name, and Date of Birth. If a player was evaluated with your org last year, the system automatically pulls their profile back out of the archives. Their year-over-year development data carries forward, and no duplicate profile is created.
