Starting a new season means clearing out the past year and setting up a fresh environment. To transition smoothly, you will archive last season's players, clone your assessment to reuse its scoring metrics, archive the old event workspace, and then load in your current year's roster. This guide walks through all four steps in order.


Please Note: Scored players can only be archived within 30 days of your renewal.


Prerequisites

  • You are signed in to TeamGenius.

  • You are on the Manage Assessments home page. Click the Bolt icon in the top-left corner to jump there anytime — see the Home Page Operations Guide.

  • You have organization-level administrative access.

  • You are within 30 days of your organization's annual renewal date to execute the player archive step.


Step 1: Archive Last Season's Players

This clears your active organization roster so you are starting the year with a completely clean list.

  1. Look at the top dark navigation bar and click Players.

  2. Select Manage Players from the menu options.

  3. Click the gear icon button in the top-right corner of your player dashboard.

  4. Select Archive All Players from the configuration dropdown menu.

  5. Review the data warning pop-up, then type the word archived into the confirmation box to verify your action.

  6. Click Archive All. Every player profile from last season instantly shifts from the active roster into historical archival storage.

? Coach Tip: Your player data is completely safe and is never permanently deleted during a seasonal reset. This bulk archive action cannot be undone with a single click, but any returning athlete who signs up again this season will be automatically restored when you complete Step 4.


Step 2: Clone Your Assessment

Cloning creates a fresh copy of last year's assessment framework, saving you from having to rebuild your evaluation scoring forms, criteria, or sessions from scratch.

  1. Return to the Manage Assessments home page and ensure your filter toggle is set to Active.

  2. Locate last season's assessment row and click the three gold dots on the far right.

  3. Select Clone Assessment from the dropdown menu.

  4. In the configuration window that opens, enter your current title in the New Assessment Name field (e.g., 2026 Competitive Tryouts).

  5. Choose what data to bring over into the copy. Leave the checkboxes for Evaluation Sessions, Player Pools, and Schedule Pages turned ON to reuse them. Turn the checkbox for Players OFF—you want to add this year's roster fresh.

  6. Click Clone. Your new copied workspace will instantly appear in your active grid.

Step 3: Archive the Old Assessment

Now, tuck last season's completed assessment out of the way so your primary dashboard only displays current events.

  1. On the Manage Assessments home page, locate last season's old assessment workspace in your active list.

  2. Click the three gold dots on the far right of its row.

  3. Select Archive Assessment. The workspace moves immediately to your Archived filter layer, keeping your main workspace clutter-free.


Step 4: Add This Year's Players

With your clean, cloned assessment ready to go, it's time to load in your new roster using a standard spreadsheet file.

  1. Open your newly cloned assessment workspace.

  2. Prepare your player roster in a spreadsheet and save it as a CSV file.

How TeamGenius Handles Returning Players

Once you click import, TeamGenius automatically runs a background security check matching each incoming athlete's First Name, Last Name, and Date of Birth. If a player evaluated with your league last year, the system automatically pulls their historical profile out of the archives.
